Job Posting: Executive Assistant

The Executive Assistant will provide administrative assistance to the Bishop of the Episcopal Diocese of Pittsburgh, diocesan staff, and governing bodies. Assistance to the Bishop will include providing clerical support, managing correspondence, arranging travel, and scheduling meetings.

What You’ll Do:

  • Maintain the Bishop’s calendar, including scheduling appointments, preparing, and maintaining the Bishop’s visitation schedule, and making the Bishop aware of occasions.
  • Track and ensure the Bishop’s awareness of upcoming deadlines and necessary to-dos.
  • Assist the Bishop in managing, prioritizing, and responding to emails.
  • Make all travel arrangements for the Bishop.
  • Prepare all expense reports on behalf of the Bishop.
  • Coordinate details with parishes in advance of the Bishop’s visit. Prepare confirmation and reception certificates.
  • Compile statistics for the Bishop’s annual convention report.
  • Prepare appointment letters, lay ministry licenses, licenses to officiate, and other documents that must come under the signature and authority of the Bishop.
  • Ensure appropriate recordkeeping of the Bishop’s correspondence and activities.
  • Provide administrative support to Canons, Treasurer & Director of Administration, and other diocesan staff members.
  • Provide administrative support to diocesan committees and commissions, including recording meeting minutes for two of the diocese’s governing bodies.
  • Provide administrative support for the annual convention.
  • Serve as co-Recorder of Ordinations for the diocese (with the Canon to the Ordinary).
  • Serve as Safe Church Administrator, ensuring that diocesan clergy and staff have necessary training and clearances as called for in our diocesan policies.
  • Produce and maintain parish and clergy directories.
  • Prepare annual Cycle of Prayer.
  • Provide hospitality to guests of the diocese.

What You’ll Bring:

  • Minimum 10 years of experience as assistant to a CEO or other executive-level leader.
  • Extensive experience working with a board of directors or other governing body of an organization.
  • Expertise in Microsoft Office suite, including Word, Excel, and PowerPoint.
  • Excellent written and verbal communication skills, including strong proofreading skills.
  • Meticulous attention to accuracy and detail.
  • High level of integrity and discretion in handling confidential information.
  • Ability to prioritize and organize work effectively and to meet deadlines.
  • Exceptional interpersonal skills to facilitate working with a wide range of individuals and groups.
  • Ability to work independently and as a team player.
  • Genuine curiosity about, knowledge of, and respect for the Episcopal Church and its traditions is a plus.

Work Schedule and Compensation

  • This is a full-time position, working normal business hours Monday-Friday.
  • The salary range is $50,000 – $58,000, commensurate with education and experience. Total compensation also includes healthcare benefits, and a retirement contribution of 11% employer contribution plus a 4% match.
  • This position is expected to work in the office (located in downtown Pittsburgh), with working from home flexibility as needed.
